How to choose a booking app for your business: 10 features that matter

A buyer's guide to online booking software for salons, barbershops, clinics and other appointment businesses: the features that matter, marketplace vs your own app, pricing traps and questions to ask in a trial.

A booking app ends up running a big part of your day. It decides how clients find a slot, what reminders they get, how your staff sees the schedule and how much admin you do in the evening. Switching later is a hassle, so it pays to choose carefully the first time.

We make a booking platform ourselves (Applio), so we have an obvious interest. This guide tries to stay useful no matter what you choose, and it says plainly where our own product does not fit.

Start with two questions

Who books, and how? If most clients are regulars who book the same service every few weeks, you need fast rebooking and good reminders. If you depend on new clients finding you, discovery matters more.

Your own app or a marketplace? This is the biggest decision, so it gets its own section below.

Marketplace vs your own branded app

Marketplaces list many businesses in one app. Clients search for "barber near me", see you next to competitors and book.

  • Good for: being found by new clients, especially if you are new.
  • Watch out for: your clients are shown competitors every time they open the app. Some marketplaces charge a fee or commission on clients they bring you, and the client relationship partly belongs to the platform. Read the pricing page carefully.

Your own branded app carries your name, logo and colours. Clients download it to book with you and nobody else.

  • Good for: keeping regulars, building your brand, sending them your own announcements and offers.
  • Watch out for: it does not bring you new clients by itself. You still need Google, Instagram and word of mouth.

Many established businesses use their own app for regulars and keep a good Google Business Profile for discovery.

The 10 features that matter

1. Real availability, 24/7

Clients should see only slots that are truly free, based on each staff member's working hours, breaks, days off and existing bookings. If the app shows a slot that turns out to be taken, trust disappears quickly.

2. Automatic reminders

The single most effective tool against no-shows. Look for at least one reminder before the appointment, ideally configurable (the day before and a couple of hours before). Push notifications are free; SMS costs per message. More in our guide to reducing no-shows.

3. Easy cancel and reschedule for clients

A client who can move an appointment in one tap tells you in time. One who has to call during opening hours often just does not show up.

4. Staff calendars and time off

Each staff member needs their own services, hours and calendar, plus a way to block vacations, sick days and time spent outside the shop so nobody can book those days.

5. Services with correct durations

A beard trim and a colour treatment take very different amounts of time. The app should block the right length for each service and handle combinations correctly.

6. Client records

Visit history, contact details, notes and who did not show up last time. This is your client database; make sure you can export it.

7. Notifications to your clients

Announcing holiday hours, a new service or a quiet-day discount by push notification is far more effective than hoping clients see an Instagram post. Check whether you can message all clients, a segment (for example clients who have not visited in two months) or individuals.

8. Reports you will actually read

Earnings by day, week and month, your best-selling services and staff performance. Bonus points for exports your accountant can use without retyping.

9. Payments and deposits, if you need them

If you want deposits for long services, the booking system must either process payments or work smoothly with a payment link. Not all do. Applio, for example, does not process online payments, so businesses that need deposits handle them separately. If deposits are central to your business, make this a deciding question.

10. Your brand and language

Your own colours, logo and texts make the app feel like part of your business. If your clients speak several languages, check that the client-facing app supports them.

Pricing traps to watch for

  • Per-booking or per-new-client fees that look small but add up on a busy month.
  • Per-staff pricing that doubles your bill when you hire a second person.
  • SMS charged separately, sometimes per message.
  • Essential features locked in expensive tiers, such as reminders or reports.
  • Long contracts with no trial.

Ask for the total monthly cost for your real situation: number of staff, bookings per month and the reminders you want.

Questions to ask during a free trial

Use the trial as if you were already live:

  1. Book an appointment as a client, on your phone, from start to finish. How many taps did it take?
  2. Cancel and reschedule as a client. Did the slot become free immediately?
  3. Block a day off for a staff member and check that clients cannot book it.
  4. Check the reminder: when did it arrive, and what did it say?
  5. Export your client list. Is the file usable?
  6. Contact support with a real question. How long until a useful answer?

Where Applio fits

Applio gives each business its own branded booking app with online booking around the clock, real availability, reminders two hours before appointments, staff calendars with time off, VIP slots, discount days, client reviews, a product shop with in-store pickup and earnings reports with PDF export. It works for barbershops, salons, clinics, gyms, rentals and other appointment businesses, and it is one plan at €40 a month or €35 a month billed yearly, with a 14-day free trial.

It is not the right choice if you need online payments or deposits inside the booking flow, or if your main goal is to be listed in a marketplace next to other businesses.

You can see the full feature list and a live demo, or look at BarberSamir, a barbershop app built on the same foundation.
